THE CORPORATION OF THE TOWN OF NEWCASTLE BY-LAW 81- 166 Being a by-law of the Corporation of the Town of Newcastle to re-establish the position and define the responsibilities and duties of the Confidential Secretary, Clerk's Department NOW THEREFORE the Corporation of the Town of Newcastle By Its Council, ENACTS AS FOLLOWS: 1. The position of Confidential Secretary is hereby re-estab1ished. 2. The position shall have the duties and responsibilities as set out in Schedule "A" to this by-law. . 3. The position shall be compensated according to the Town's policy in respect of non-union salaries. By-Law read a first and second time this 5th day of October 1981. . Confidential Secretary to the Town Clerk Clerk's Department To perform stenographic, secretarial and clerical duties for the Clerk, and when required for the Deputy Clerk 1. Take and transcribe dictation and acknowledge correspondence, inquiries, reports and minutes of special meetings of Council 2. Review the department's incoming mail, and assemble related material if necessary 3. Receive telephone calls for the Clerk and relieve him of detail work in obtaining and providing information for the caller 4. Gather information and compile reports on matters referred by the Clerk 5. Arrange and maintain a record of appointments and meetings for the Clerk 6. Assist the Clerk in the preparation of forms, advertisements and other material for the civic elections and perform such other duties as may be assigned relating to civic elections Prepare and issue marriage licences as authorized by the Office of the Registrar General Perform stenographic and clerical duties in the department as required Perform stenographic duties at special meetings when required Prepare all documentation related to rezonings and maintain up-to-date records on such matters Assist in the maintenance of the Clerk's department files Assist in giving information at the counter as required Perform other duties as may be assigned by the Clerk, . . .2 . ...- . . . . . .. . .' , . SCHEDULE "A" TO BY-LAW 81-166 2. Qualifications: 1. Minimum of Grade 12 Commercial or equivalent combination of experience and training 2. Knowledge of the functions of the Clerk's Department 3. High level of secretarial skills; including typing, shorthand and electronic transcribing expertise 4. Knowledge of filing systems 5.
