I I I THE CORPORATION OF THE TOWN OF NEWCASTLE BY-LAW NO. 81-105 Being a by-law of the Corporation of the Town of Newcastle to establish the position and to define and determine the duties and the responsibilities of the "Secretary to the Planning and Development Department". WHEREAS it is deemed desirable to establish the position of Secretary to the Planning and Development Department and to define, and determine the duties and responsibilities thereof; NOW THEREFORE the Council of the Corporation of the Town of Newcastle ENACTS AS FOLLOWS: 1. That there is hereby established the position of "Secretary to the Planning and Development Department". . The position shall have the duties and responsibilities described within Schedule A to this by-law, attached hereto. 3. The position shall be paid in accordance with Town policy in respect of the compensation of non-affiliated staff or 2. at such rate as may be determined by Council by Resolution or By-Law. Directly responsible to the Director of Planning for confidential, general secretarial duties and office admin- istration. 1. Administration of personnel records on behalf of the Planning and Development Department, including administration of daily records, attendance and overtime, preparation and maintenance of departmental personnel files according to departmental procedures. 2. Supervision of Senior-Clerk Stenographer and Clerk-Typist positions, including delegation of work and administration of office procedures. 3. Maintenance of Departmental Budget records and filing system. 4. General secretarial duties, including research and preparation of correspondence and reports of a confidential nature, as may be required by the Director of Planning and Development. 5. Receptionist duties including the provision of general information and assistance to the public. 6. Other duties as may be assigned by the Director. ... ~' . . . , . i SCHEDULE "A" QUALIFICATIONS 1. Maximum Grade 12 Education and post junior matriculation secretarial training. 2. Five years of office experience. 3. Knowledge of office procedures, proficiency in shorthand, dictaphone and knowledge of other business machines and procedures. 4. Ability to communicate effectively with other staff and the public. 5. Valid Motor Vehicle Operator's Licence.
