BY-LAW 87 - 194
BEING A BY-LAW OF THE TOWN OF NEWCASTLE
TO ESTABLISH THE POSITION OF
ADMINISTRATIVE ASSISTANT TO
THE DIRECTOR OF PUBLIC WORKS
THE COUNCIL OF THE CORPORATION OF THE TOWN OF NEWCASTLE
HEREBY ENACTS AS FOLLOWS:
1. That the position of Administrative Assistant to the Director of
public Works is hereby established in accordance with the duties
and responsibilities as set out in Schedule 'A' attached hereto.
2. That the position shall be remunerated in accordance
with the Salary Administration program of the Town of Newcastle;
3. That By-LaW 82 - 153 be rescinded.

DUTIES AND RESPONSIBILITIES OF THE ADMINISTRATIVE ASSISTANT TO THE
DIRECTOR OF PUBLIC WORKS
SUIr:Jrnary of Duties:
Responsible to the Director of Public Works for general secretarial duties
including the scheduling and supervision of work with respect to the routine
clerical operation of the department, liaison with the public and various
matters of a confidential nature.

Receiving, recording and directing incoming calls and enquiries
and responding where appropriate regarding routine matters;
Assisting in the processing of various applications by the department,
including assembly of information and various liaison requirements;
Assisting in the selection and hiring of clerical staff;
Assisting in the review of applications, interviewing and
hiring of S\.lllIler students in the Public Works Department;
Supervising clerical staff including students within the office
and scheduling of the work in this regard;
Assisting in the collection of information required for the
composition of various reports, correspondence and the like;
Typing reports, correspondence and the like, inCluding items related
to confidential matters;
Maintaining departmental files and records, including personnel
infol""lDation;
Arranging and lIBintaining appointments for the Director and organizing
special functiOns. as necessary. wi thin the Department;
Retrieving and supplying information associated with the Public
Works Department for the Director and staff for distribution to
other departments, members of Council and the public;
Collaborating with the Administrator's and Treasury Department
1n the Ilaintenance of accurate records relating to personnel,
attendance, vacation and sick records;
Acting as Secretary to the Town's Utility Co-ordinating Comnittee;
Issuing of petty cash and approval of purchase orders' for office
supplies;
Coordinating activit1es related to public notices;
Other similar duties as may be assigned by the Director.

QUALIFICATIONS:
,. Min1mUlIl of full secondary school education with post g:"aduate
oourses in A~nistration or Human Resources or related
experience.
2. Minimum of three <,) years Municipal experience, preferably
in a Public Works or Municipal Engineering Department.
j. Knowledge of procedures under the Municipal Act and othE;r
legislation relat~d to Public Works functions.
4. Good ool1Ill\.mication skills.
5. Familiarity with word processing systems, filing systems and
basic office equi~ent.
6. Valid Ontario Motor vehicl~ oper~tor's licence.
