HomeMy WebLinkAboutAdmin 78-84AW CORPORATION OF THE TOWN OF NEWCASTLE 40 TEMPERANCE STREET BOWMANVILLE, ONTARIO LIC 3A6 TELEPHONE 623-3379 REPORT TO THE GENERAL PURPOSE AND ADMINISTRATION COMMITTEE MEETING HELD SEPTEMBER 17 1984 ADMIN. 78 - 84 SUBJECT: COUNCIL AND COMMITTEE MEETINGS AFTER A HOLIDAY MONDAY RECOMMENDATIONS: It is respectfully recommended that the General Purpose and Administration Committee recommend to Council the following: 1. That Administrator's report ADMIN. 78 - 84 be received; 2. That Committee or Council meetings that follow a holiday Monday be held on Tuesday evening commencing at 7 o'clock. BACKGROUND AND COMMENT: At the September 4th General Purpose and Administration Committee meeting, staff were asked to investigate the problem of Regional Meetings and Town.Meetings falling on the same date and at the same time. Regional Councillors have'a responsibility to both the local Council and to Regional Council. Accordingly, when meetings are held on the same day, at the same time, in -two separate locations, it is impossible to discharge these responsibilities as might otherwise be the case. In examining the meeting schedule for 1984, it is noted that there are approximately six conflicts per annum. The regularly scheduled meetings for Social Service, Planning and Work Committee at the Region are held on a Tuesday. In reviewing the.•khedule to the end of this year, there is a conflict with the Thanksgiving Day holiday and with Remembrance Day. After checking with Regional officials, it is apparent that if any adjustment is to be made it would be preferred that the Town adjust its meeting schedule and not the Region. In order that those Councillors that are involved at the Region can attend both local and Regional meetings following a holiday Monday the Town's meeting should be moved to the evening I, commencing at 7 p.m. 4 q\' acQ7 Other alternatives were examined, including meetings later in the same day and an alternate day of the week. While, technically, staff would be able to meet in the afternoon (3 p.m.) on those days where there is a conflict with Regional meetings, it is felt that to introduce a third starting time for meetings would only add .to the confusion of the general public with respect to meeting times. It is therefore desirable to retain two meetings times, i.e. 9:30 a.m. and 7 p.m. If an alternate day was selected, it would shorten the turn around time in the Clerk's office. Given staffing arrangements and workloads it would be very difficult if not impossible to provide material to the next meeting of Council or G.
