Monthly Board Meeting, March 15, 2017

Secretary Cecile Bowers read minutes of February Meeting: Name of Katherine
Caplan had been omitted. Corrected. M/S by Larry Quinney and Alvina Hare to accept
minutes as corrected. CARRIED.
Treasurer’s Report: Steve Hutchinson handed out reports. Report shows:
Income January Dance $2,000. Expenses: Hydro $688..65 Suncor Energy $1,875.20
Cheque #523 $540.00. Starting Balance: $21,594.83 Ending Balance:
$20,490.98.
M/S by Cecile and Danielle to accept Treasurer’s Report. CARRIED.
Joy noted that she, Danielle and Steve had visited with the Town to learn more about
Audit....new method to be in place. Starting tonight Joy and Danielle are the only
persons allowed to co-sign with Treasurer Steve.
M/S by Steve and Alvina that Joy be the “approver” for expenses....everyone
should fill out the Special Expense forms handed out by Steve tonight, listing all
expenses, then hand them to Joy....who will peruse them and then hand over to Steve
to be paid. CARRIED.
Any invoices such as Hydro, Oil and Cleaning can go straight to Steve for payment, no
need to fill out Expense forms for these. Any items to be used in Hall, etc. Should be
listed however.
Maintenance: Larry Quinney noted that because of an odour present on the
weekend, the Septic tank has been pumped, plus two holding tanks and grease trap
has to be cleaned. Regarding the sign by roadside, Larry has spoken to Rob Groen,
waiting to hear back.
Justin Vachon noted regarding the Table Holders/Racks... that as soon as he can
get his trailer out of snow area, he will get the one rack from the basement and do some
work on it to make it work. I f Board approves, he can make more.
Dance Report by Dave Taylor that it was a great dance, had three persons in
wheelchairs present and they requested that we need more than one Handicapped
parking spot in our parking lot.
M/S by Dave Taylor and Larry Quinney that we keep a standard stock in bar cupboards
for monthly dances. CARRIED.

Hall Booking by Danielle: Busy March and April. April 22 will be a Fundraiser Dance
for Taylor Welch. Also April 22 is EARTH DAY and there will be a clean-up of grounds,
hall, etc. From 10 a.m. to 12 Noon.
Breakfast with Santa: Joy has the Grant form filled out for this event.
M/S by Larry Quinney and Dave Taylor to accept Breakfast With Santa form being sent
to the Town asking for $5,00.00. CARRIED.
Joy noted that there is a Municipal Meeting at Town Hall on May 27 at 9 a.m.
Next Meeting is April 19 at 7 p.m.
