Ad Hoc Committee October 11 1983
Minutes of the Ad Hoc Committee meeting
with respect to the Renovations to the
Bowmanville Library Heating System, held
on October 11 1983 at 11:20 a.m. in the
Council Library
In Attendance: Councillor Marie Hubbard, Chairperson
Councillor E. R. Woodyard
Acting Mayor, R. B. Taylor
Library Board: Don Hargest, Vice -Chairman
Louise Aasen
Town Staff: Deputy Clerk, Gertrude Gray
Chief Administrative Officer, D. Johnston at 12 noon
Consultants: Mr. D. Bryon and Mr. H. McConkey of
Totten Sims Hubicki and Associates.
Moved by Louise Aasen, seconded by Councillor Woodyard
THAT the minutes of the meeting held on September 30 1983
be approved as read.

Moved by Don Hargest, seconded by Louise Aasen
THAT the circulation from Mrs.Schon, Librarian, relative
to the building and heating system be received for
information,
"CARRIED"
Mr. Bryon reviewed the specifications for the tender
for the heating system at the Library.
Moved by Councillor Woodyard, seconded by Councillor Taylor
THAT the Specifications be given a Town of Newcastle
Contract Number.

Ad Hoc Committee - 2 - October 11 1983
Mr. Bryon explained that the final specifications
would be prepared by October 14. If the Ad Hoc
Committee did not need to meet to approve the
final'specifications, he could call a prebid
meeting by that date. The tender would close
in one week following the prebid meeting.
Moved by Councillor Woodyard, seconded by Councillor Taylor
Plan Deposit THAT the $25. deposit fee for plans be waived in this
Fee case as the tendersswere being invited.

Additional THAT any additional meeting to approve final tender
Meetings specifications be at the call of the Chair.

Approval of THAT the presentation of the preliminary specifications
Preliminary be acknowledged and the specifications, as presented,
Specifications be approved and the Consultant be authorized to proceed
to tender as soon as possible.

Potential THAT the following list of potential tenderers, as
Tenderers: presented by Totten Sims Hubicki Associates be approved:

THAT the list of contractors for double glazing, as
presented by Totten Sims Hubi'cki Associates be
approved: as follows,
