Land Acknowledgement Meera McDonald read the Land Acknowledgement Statement 2. Welcome and Introductions Meera welcomed everyone to the meeting and invited the attendees to share about themselves. 3. Contact Information Erica asked those who had not already done so to please share their preferred contact email address and phone number as she is compiling a contact list for the subcommittee to communicate about subcommittee business only. 4. Volunteer Orientation Material As volunteers on a subcommittee, members will be asked to review an orientation package and complete two online accessibility modules. Action Item: Erica will share the orientation document and links; subcommittee members will review, participate in the online modules and will send (scan / email) in their confirmation form to Erica. 5. Terms of Reference The draft Terms of Reference will be shared with the group through an online shared document platform. Members are asked to review and provide feedback so a more complete document can be approved at the next meeting. 6. Subcommittee Deliverables A. Social Media Campaign: Who are we partnering with to amplify our message? Message should come from Municipality of Clarington social media handles directly through the Communications Division. Messaging aligned and integrated with Municipality of Clarington. Messaging needs to be easy to digest for readers to figure out how to respond / proceed. Make people feel connected, share their experiences. Pillars: 1. Allyship / Education / Resources: How to be an ally, toolkits (i.e. Ally2Action); curriculum support for educators. 2. Resident Stories: Residents share their experiences, things they have witnessed, times they have stood up and been an ally. (i.e. Humans of New York) 3. Roundtable / Community Engagement: "Town Hall" event every 90 days with a different theme or topic each time and speakers related to each theme / topic. Possible partnership with Clarington Public Library to coordinate speakers. 4. Spotlight of Black Owned Businesses in the Community: Showcase black owned businesses in Clarington. Possible partnership with local Business Improvement Areas (BIAs) and Clarington Board of Trade. 5. Seasonal Content: Recognize monthly / seasonal events, celebrations, recognitions of various themes. A foundation needs to be established to ensure consistency. Any plan that is developed needs to be realistic and respect the boundaries that work with the resources available. The subcommittee should provide content to assist the Communications Division to facilitate the sharing of the messages. A suggestion was made that each subcommittee member could create 5-6 posts and Lauren would compile in an editorial calendar where she would review the language, hashtags, captions and recommend images. Action Item: Lauren will create a mock-up of content to share with Erica for review prior to sharing with group. B. Anti -Black Racism Policy: What should it look like? Who is it for? What is the goal? What are we hoping to achieve and build from there. The discussion involved establishing a policy as a result of the commitment in the joint statement on anti -Black racism (June 2020). It would be two -fold; it would apply to the Municipality of Clarington as an entity / building / staff and would extend to the community. It would use broad language, aspects, references The goal is to ensure anti -Black racism is not present in institutions across Clarington. Look at specific policies where this could be incorporated such as any imagery being shared needs to include diverse people to be more inclusive. There is existing legislation we could build upon / use such as discrimination laws, federal and provincial anti -racism policy, language we can use, workplace violence and harassment policies. Action Item: Erica to look at a file sharing method for collaboration and upload documents for all to review. Action Item: Erica to investigate best way for moving forward a recommended policy and determine which staff to engage with to get support. C. Training: Developing a training plan for municipal staff / Council; external agencies could follow as well. Adaptable to reach businesses, schools, community organizations. Look to hire a consultant specialized in this field to develop training packages / modules. Rachel investigating funding options and has meeting with Mayor Foster on August 13 to discuss possibilities. Possible training ideas: 1. How to be an ally 2. Bring people from various communities together 3. Engage with Library 4. How to raise a non racist child 5. Book Club — subject based, moderated Action Item: Erica to invite library representative to next meeting. 7. Other Business Rachel shared that the Municipality's Communications Division is looking for feedback on current imagery being used for recent promotions / communications. She suggested this group could also provide input. Erica to circulate the file and instructions. Action Item: Erica to share imagery file from Communications with group for feedback.
